Every learner's evidence, in one place, ready before anyone asks for it.

For UK training providers — from independents running one cohort to funded teams managing hundreds.

LearnFlow is cohort management and evidence software for UK training providers. It keeps each learner's submissions, tutor feedback, attendance and progress reviews in a single record, flags learners who are falling behind, and exports the evidence packs providers need for funding audits and Ofsted inspection.

One record per learner, not seven

Submissions, tutor feedback, attendance, progress reviews, notes and files all sit on the same learner. Nobody switches systems. Nobody asks where the latest version is.

You see who's slipping, early

LearnFlow watches attendance, submissions and progress together and flags learners as they start to drift — with the reason, not just a red dot. You get to step in while it still counts.

The report is already built

Export what you need for a review, a funding audit or an inspection in a few clicks, straight from the records your team created as they worked.

Questions we get asked

How is this different from OneFile, Aptem or Smart Assessor?

Those are big systems built for big providers, and they're priced and implemented that way. LearnFlow does the core job — evidence, attendance, progress, reporting — without a six-month rollout or a per-seat contract you have to grow into. If you have a dedicated MIS team, buy one of those. If your MIS team is you and a spreadsheet, start here.

Do we have to move all our old data before we can use it?

No. Start with one live cohort. Historic learners can stay where they are — nothing forces you to migrate on day one.

Where does our learner data live, and is it safe?

Your data is yours, held in the UK/EU and covered by UK GDPR. Each organisation's records are separated from every other organisation's — your tutors see your learners and nobody else's. You can export everything you've put in, whenever you want.

Does it work for training that isn't an apprenticeship?

Yes. Anything you run as a cohort with sessions, work submitted and progress tracked — commercial courses, bootcamps, internal training — works the same way. The compliance features are there when you need them and out of the way when you don't.

What does it cost?

Free to start. We'll introduce paid plans as we grow, and we'll always tell you well before anything changes for you.
